Staff handbook you can ask questions
Put your how-we-do-it guides, checklists, price list and policies into one AI project. Staff ask in plain words ("how do I cash up?", "what's in the vegan wrap?") and every answer says which document it came from. If the handbook doesn't cover it, the answer is "ask the manager", never a guess.
How your agent does it
- You add your guides: opening and closing checklists, price list, refund policy, allergen sheet and emergency contacts
- You set it to answer only from those documents and name the document for every answer
- Allergens, safety and refunds are never guessed: if it isn't written down, it says ask the manager
- You test it with ten real questions staff asked last month and fill any gaps in the documents
Example prompt
You are our staff handbook. Answer only from the documents in this project. For every answer, name the document and section it came from. If the documents don't cover the question, reply: 'Not in the handbook. Please ask [manager's name].' Never guess about allergens, safety, money or refunds. Keep answers short and in plain words, as steps where it helps.
Good to know
- Difficulty: easy
- Typical benefit: Fewer repeat questions for the manager
- Works best on: Claude, ChatGPT, Gemini
- Agent job: HR Helper, with Teacher and Super-Organiser
